What types of backup software are there?

Backup software is divided into different types depending on backup method, technology, and deployment environment.

By backup method:

• Full backup: Creates a complete copy of all data regardless of changes; this is simple but time- and storage-intensive.
• Differential backup: Backs up all changes since the last full backup, which means a medium level of effort and straightforward recovery.
• Incremental backup: Captures only the changes since the last backup (whether full or incremental). This is fast and space-saving but results in more complex recovery.

By technology:

• File-level backup: Copies entire files when they change – ideal for smaller data volumes.
• Block-level backup: Backs up only changed data blocks – more efficient and faster for large volumes.

By deployment area:

• Image backup: Creates bit‑accurate images of systems or partitions for complete disaster recovery.
• Cloud backup: Stores data in the cloud for location‑independent access and protection against local disasters.
• Local backup: Uses external hard drives or NAS devices – cost‑effective with full control.

Who uses backup software?

Backup software is used both by individual users who want to protect personal data such as photos, documents, and emails and by businesses.

Small and medium‑sized enterprises (SMEs) use it intensively because, often without large IT departments, they have to protect business‑critical data such as customer information or financial data. Large enterprises and corporations rely on scalable enterprise solutions for extensive IT infrastructures, virtual machines, cloud environments, and servers.

In addition, IT service providers, managed service providers, and data center operators benefit from backup software for multi‑client environments and ransomware protection.

Challenges of backup software

Technical challenges

• Complex infrastructures: Hybrid environments with on‑premises, cloud, and SaaS components make a consistent backup concept more difficult, for example due to different interfaces and backup formats.
• Performance and duration: Large data volumes and limited bandwidth lead to very long backup windows, which can jeopardize RPO/RTO targets (recovery point/time objectives).
• Compatibility: OS updates, patches, and application upgrades can make backup agents or backup software incompatible, leading to faulty or incomplete backups.
• Storage media and capacity: Limited capacity, slow media (for example, tape, optical media), or constraints of native tools (for example, only one backup to a network share) limit the frequency and quality of backups.

Organizational challenges

• Lack of or outdated strategies: Backup concepts are designed once and then not adapted to new systems, data sources, or cloud services (configuration drift).
• Insufficient monitoring: Failed or partial backups go unnoticed if jobs and capacities are not actively monitored.
• Insufficient testing: Recovery processes are rarely practiced, documentation becomes outdated, and in an emergency recovery times are longer than planned or data cannot be restored at all.
• Dependence on single methods: Relying on only one backup path (for example, only cloud or only local NAS) creates single points of failure without redundancy.

Human challenges

• Misconfiguration: Incorrect selection of directories to be backed up, unsuitable schedules, or lack of prioritization of critical applications lead to gaps in protection.
• Access and permission issues: Expired passwords, changed service accounts, or API keys can prevent access to data sources, often only becoming apparent during restore.
• User errors in emergencies: Under time pressure, restore processes are prone to error, especially when they are complex and rarely practiced.

Security and compliance challenges

• Ransomware and tampering: Backups themselves can be targeted, for example through encryption or deletion of backup repositories if they are not sufficiently isolated.
• Data integrity: Gradual corruption (bit rot, media aging, file system errors) can render backups unusable if no regular integrity checks are performed.
• Retention and versioning: Too few versions make it difficult to roll back to a “clean” state, while too many versions drive up costs.
• Legal requirements: Requirements for retention periods, encryption, and data protection must be taken into account in the backup concept; backup software only supports this partially or with high configuration effort.

Additional specific criteria and question prompts for evaluating backup software

• Check how comprehensive the backup of your current files is. Ask the provider which backup method (full backup, incremental or differential) you need.
• Decide whether your data can be secured on the network or the internet. Review your IT security strategy. Does the solution cover all relevant environments (on-premises, cloud, SaaS)?
• Is the solution designed as a client-server application or a standalone application? Check your IT infrastructure and contact the provider.
• Can backups be performed of local resources or of remote network or internet resources? Does the solution cover all relevant environments (physical, VM, cloud, SaaS)?
• Does the software offer a way to back up data whilst the system is running?
• Can data recovery be carried out without data loss whilst the system is running?
• Scheduling backup jobs reduces the amount of manual administration required.
• Data compression of the backups prevents unnecessary use of storage space.
• Ask the provider whether end-to-end encryption is available during transmission and at rest, and whether there are role-based access controls and detailed logs of all actions.
• The transaction mechanism in a data backup solution can always restore the system to its original state in the event of errors, either fully or, if desired, only partially.
• Does the backup software offer clear dashboards where status, errors, warnings and capacity limits can be seen at a glance?
• Can the backup software send notifications by email, or is there a ticket system or messaging service available to provide early notification of problems?
• Ensure that backup admin accounts are strictly separated and secured to minimise misuse and insider risks.
• Does the backup software automatically recognise new systems in order to include them in appropriate backup jobs?
• Does the backup software for IT service providers or larger organisations offer multi-client functions to manage multiple locations or customers separately?
• Ask the provider whether the software can also be used for SaaS backups and whether it allows granular restores of individual emails, files, chats or sites.
• When selecting backup software, compare whether support is offered in your national language or in multiple languages. Pay attention to clearly defined response times and, if necessary, managed services, should you require them.
• Does the backup software support modern strategies such as immutable backups, ransomware protection and hybrid scenarios?
• Can the backup infrastructure be scaled with reasonable effort as the company grows?
• Does the software offer meaningful reporting, monitoring and alerting?
• Do the licence model, storage costs and support services fit your budget and requirements?
