I work as a legal guardian and am looking for a software solution to support my work.
I have the following requirements for the software:
- General requirements:
- Web-based solution: Access from multiple devices, ideally without local installation (mobile access also required if necessary).
- Multi-user function: Ability for multiple people to work on a case at the same time (e.g., from the perspective of an additional assistant).
- Data protection and data security: The software must comply with personal data protection requirements (GDPR-compliant).
- Purchase model, license purchase: A purchase model in which the software is bought rather than rented is preferred. Maintenance and update contracts should be optional and flexible.
- Case management:
- Case creation:
- Electronic file creation, into which information from the electronic citizen mailbox can be integrated.
- Option to store contact details (e.g., of individuals, authorities, courts).
- Linking of cases: It should be easy to assign individuals who have already been assisted in previous proceedings.
- Case overview: Overview of all active cases in a kind of dashboard with filter options by status, deadlines, or priorities.
- Follow-ups: Setting deadlines and follow-ups to track tasks and deadlines.
- Document and template management:
- Template creation:
- Dynamic templates for cover letters that are automatically filled with the data stored in the system (e.g., addresses, case information).
- Customizable templates for individual requirements, e.g., requests for interpreters, child's residence details, or other special information.
- Automatic adaptation of text modules depending on the case constellation.
- Case-related documentation: Option to save all relevant documents and notes for each case and retrieve them in a structured manner.
- Link to DMS systems should be possible in the future: Ideally, integration of functions such as OCR for scanned documents.
- Appointment management:
- Appointment overview:
- Calendar function for entering court dates, child hearings, and other appointments.
- Option to manage multiple appointments per case in a structured manner.
- Reminders: Automatic reminder function for important appointments or deadlines.
- Finance and accounting functions:
- Income and expense management: Overview and recording of income and expenses.
- Account connection: Automatic recording of account movements and document management (e.g., by upload or photo scan).
- Invoicing: Creation of invoices based on stored case information.
- Tax overview: Reports for tax purposes, including the creation of sales overviews.
One to two software workstations are required.
