We are an international architecture firm with locations worldwide and are looking for a document management system to optimize our data storage.
The software should support the following functions:
- Input masks for the correct naming of files (image data sets, texts, PDFs) and storage in the right location
- The option to assign keywords for a search system
- Documentation of change management (we are currently unable to find objects that change their name during the course of a project)
- Ideally, an approval function for documents with status display and log file showing what happened and when
- e.g., image data must be approved by the supervisory board before publication - currently, no one really knows which images have already been submitted for approval
- Optional: the option of an output function that allows texts and images from the database to be compiled in a specified layout and output as a PDF
- We work on different Windows versions with remote desktop and central license management
- Server capacity is selectable; these must be newly set up anyway
- A cloud solution is not desirable
The software must only be able to meet the requirements and be simple and cost-effective.
Four to twelve software workstations are required (four actively managing the data and others purely accessing the data).
