We are a service company with approximately 3,000 employees and headquarters in Germany. To provide training and conduct risk assessments for our employees, we are looking for software that will help us teach and document the necessary skills and knowledge.

The software should also document supervisors’ obligation to provide training to individual employees, including the relevant content.

Training for all employees: (these items are currently available on the intranet)

  • Evacuation routes
  • Emergency exits
  • Assembly point
  • Alarm system
  • First aid responders
  • First aid kits
  • Defibrillators
  • Fire extinguishers
  • Fire safety regulations
  • Fire alarm systems
  • Fire-rated doors
  • Availability of safety engineer & company physician
  • Eye examination
  • Ergonomics at the desk
  • Elevator (do not use in case of an alarm)
  • Procedures in the event of an accident (reporting, liability...)
  • General safety-conscious behavior

Additionally for initial training:

  • Legal basis of occupational safety
  • Definition of workplace and commuting accidents, occupational diseases, work-related illnesses
  • Scope of insurance coverage

Training for specific groups of people: (non-exhaustive list)

  1. People who must “lift and carry”
  2. People who use ladders and step stools
  3. People who use lifting platforms, aerial work platforms, or self-propelled work equipment
  4. People who must handle hazardous substances (including shipping/transport of Li-ion batteries, etc.)
  5. Individuals who use PPE (personal protective equipment) at work
  6. Individuals who enter rooms with automatic fire suppression systems
  7. Individuals exposed to noise
  8. Individuals working in the vicinity of technical equipment
  9. Individuals in outdoor teams, lighting, technical support, etc.
  10. Individuals within the scope of the Assembly Venues Ordinance
  11. Individuals who operate vehicles (passenger cars from the fleet or others)
  12. Individuals who transport cargo in vehicles (load securing)
  13. Individuals who operate X-ray equipment
  14. Individuals who operate machinery (drills, saws, etc.)
  15. Persons working with or near electrical voltage
  16. Persons working in the mask area (hazardous substances!)

Software requirements:

  • Training system and risk assessment
  • Teaching and documentation of the required skills and knowledge
  • Documentation of supervisors’ training obligations
  • Content from a specifiv risk catalog and risk factors (Federal Institute for Occupational Safety and Health)
  • Browser- and database-supported linking of information such as:
    • Activities
    • Work areas and locations
    • Work equipment, devices, systems, and machines
    • Hazard factors
    • Hazardous substances
    • Operating instructions
    • Safety data sheets
    • Training sessions
  • All users should be able to log in simultaneously
  • Only a few administrator licenses are required
  • Employee licenses should be dynamically expandable at any time
  • Licenses that become available can be reused for new or other users
  • Ideally, all available training topics are provided at no additional cost
  • Ongoing updating of existing and provision of newly created standard training modules
  • Updating and legal compliance of topics, e.g., in the event of changes to regulations and laws
  • Ongoing development and adaptation to legal frameworks
  • Program updates, upgrades, and patches for the training system
  • Hotline and support for the primary technical contact person on weekdays during business hours
  • Provision of data created by the client even in the event of contract termination

System Implementation and Migration:

  • One-time import of personnel master data
  • Optional standard interface to SAP HR

The software should be designed for approximately 3,000 employees and possibly 50 administrators. It can be offered on a purchase or rental basis.
