We are a financial services provider in the investment industry based in northern Germany and are looking for an organization and process management system to design processes and create transparency.
We have the following requirements for the software:
- Maintenance of organizational manual
- Mapping and creation of processes (different display types)
- Mapping of job descriptions
- Mapping of a dynamic role model
- Information management: Upload of documents
- Definition of critical and non-critical processes > Update after a defined period of time
- Master data maintenance
- Reasonable integration of data > Including data history
- Workflow approval with escalation levels > info to management or supervisors, approval permission from supervisor for direct access in the portal, approvals should be reminded by the system
- Linking and uploading of documents > any format (not just Word), plus high-resolution images in good quality
- Display of various diagram types > flowchart, RACI, etc.
- Reminder function: which processes need to be updated (currently via Excel list)?
- Automatic change of designations (e.g., job title) etc. in all documents or diagrams that contain this designation
- Spell check including text field search and word change
- Automatic database check for duplicates
- Temporary storage of data (important for data diversity)
- Job description requirements > detailed recording (controllable with mobile app)
- Create job descriptions and organizational charts directly in the program
- Workflow integration: no need to set up and upload
- Easy scribbling of processes
- Web-based
- General search function across all processes and departments
- Simplification of changes to existing processes (currently: PDF documents with comment functions), “external” users can also make changes (control by license holder)
