Education provider in the medical sector seeks software for room planning

We are a non-profit, nationwide educational service provider based in southern Germany, and I am looking for room planning software for our events and seminars. We offer courses in the medical field in both the B2B (employee seminars for companies) and B2C (e.g., open courses for driving students) sectors.

The scenario:

We work with more than 150 landlords who rent their premises to us. This requires proper management that is able to “bill” rentals per date, per calendar month, etc. The software should be able to handle communication and billing with the landlords. Communication should also include “rent on request” with a confirmation process. Room planning should not be part of the existing seminar software, but should be independent, with a link to it.

The software should meet the following requirements:

• Manage rented rooms and their rental agreements
• Management that is able to bill rentals per appointment, per calendar month, etc.
• Be able to map communication and billing with landlords
• Communication should also include “rent on request” with a confirmation process and the option for providers to create rooms and room information (if this is too much work for our landlords), so that landlords would still have to confirm requests for their properties if necessary. The aim would be to import these rooms and their availability into the seminar management tool in order to create a link to a seminar date planned there (the seminar management tool could report back when the seminar has been successfully completed so that billing can take place).
• A good example of this is Airbnb – a software in which we would be both the provider Airbnb and the sole customer, and landlords can offer their premises for rent via the platform (terms and conditions, rental agreements, special features of the room (square footage, barrier-free, etc.)
• Connection to DATEV for billing rental costs, cancellation fees, etc.
• Cloud desirable
• REST API
• Future-proof, established provider

Approximately ten software workstations are planned. MS Windows systems will be used.
