Trading company seeks document and process management system

We deal in CNC-controlled machine tools for metalworking and advise medium-sized industrial companies on the use of machines and production facilities. The long-term goal of our office work is to make it largely paperless. We are therefore looking for a modular document management system (DMS) that will take us step by step in this direction.

The DMS should support the automatic processing of scanned documents.

The machine purchase and sales process is as follows. Currently, folders are created for all machines, which pass through the various departments depending on the stage of the sales process, e.g.:

• Accounting: Creation of the machine in Navision and creation of the machine folder with a master data sheet and a routing slip
• Sales: Adding technical documents and, in the event of a sale, the original sales contract, any declarations of entry from a leasing company, service invoices for repair work required on the machine, etc.
• Accounting again: Invoicing
• Secretarial department: Organizing machine transport and enclosing timesheets from your own employees for work carried out on the machine (e.g., cleaning and maintenance)
• Contracts should continue to be stored in paper form.

We are planning for approximately 20-25 software workstations.
