We are a tool and mold maker based in southern Germany and are looking for simple archiving and document management software.

The software should meet the following requirements:

  • Digitize documents that arrive by mail
  • Archive documents (e.g., incoming and outgoing invoices, delivery notes, quotes)
  • Easy retrieval of documents (e.g., with codes, keywords, or full-text search)
  • Interface between tax advisor and company
  • Assignment of rights (read, write)
  • On-premises solution
  • Windows compatible

Five software workstations with full access and an additional seven with read access are required.

Addendum:

The following functions are also required (added on October 1, 2019):

  • Scanned or digitized incoming invoices should be moved or saved to a folder, e.g., “unpaid,” if possible.
  • Read invoices (IBAN, amount, name, and invoice number), using OCR if necessary.
  • Data should be transferred to a transfer program
  • The read data should be automatically transferred to the transfer mask
  • Then file the invoice with the payment term or due date
