We are active in the field of open disability assistance and outpatient assisted living and are looking for a software solution with the following requirements:
- Support for the areas of open disability assistance and outpatient assisted living
- Service billing, billing address, sending of information material, advertising, half-yearly program
- Open assistance with leisure activities (courses, excursions, open groups, trips) and outpatient assisted living, which is currently being set up. Service billing only takes place “in principle” at our company. We fill out service records or have them confirmed, but the invoicing itself is done by the accounting department of the responsible body, which is why direct invoicing (invoice number) is not desired.
- However, service records (how many hours are billed, signature of the legal guardian for the hours) should be able to be created.
- Documentation in the area of outpatient assisted living
- Master data records, including master data such as: driver's license, further training, certificate of good conduct (for volunteers)
- Maintaining lists and master data: employees, volunteers, freelance staff, clients and participants, legal guardians, relatives, institutions such as residential homes and schools, including a link between, for example, legal guardian and client
- Creation of medical history forms and questionnaires for our trips, which should then be printable so that participants can fill them out (we do not store this data except for outpatient assisted living)
- Creation of lists for various leisure activities
- Leisure program:
- Maintaining participant lists (trips, excursions, courses, leisure groups, further training)
- Use of lists for service billing
- Billing for volunteers (flat rate, hourly rate) according to the volunteer and trainer flat rate (possibly calculate budget for volunteers)
- Interface for address transfer in Word and form letter creation
- Maintenance of many different lists with Excel, Access, and Word.
Furthermore, for the area of outpatient assisted living, we need a way to document clients and corresponding (detailed) master data records. As with the participants in the programs, a link to data records from legal guardians, residential homes, and schools also plays a role here.
Approximately 7 software workstations that access a shared NAS are planned.
