Research institution seeks software for clear internal event planning

We are a renowned research institution in southern Germany and are looking for a web tool for clear internal event planning.

The software should meet the following requirements:

• Calendar overview of all events
• Appointment management and planning
• Search option for events (by event name, event number, time period, department, organizer)
• Where all necessary details can be entered, especially travel expenses to be reimbursed to participants (currently, we always have to ask about taxis, airport transfers, etc.)
• Accessible guidelines (information) for organizers (travel expense reimbursement, amenities, gifts, things to keep in mind)
• Where you can upload all files and see everything at a glance (participant list with functions, checklist, notes, program)
• See the current status at a glance
• Reports
• Dashboards
• Optional instructor management
• A budget calculator would also be interesting, where you can see the costs at a glance – perhaps with evaluation options
• User and rights management
• Interface to MS Outlook desirable
• Modular structure desirable

Certificate management and invoicing are not essential.

Approximately 10 software workstations are planned. MS Windows systems will be used.
