Recruitment agency seeks applicant management

We are a consulting company and have been successfully placing freelance IT experts in projects for more than 20 years. We currently use two systems: a profile database (now with more than 20,000 contacts), which uses various search options to match customer requirements with the stored skill profiles and in which we store both the process and the communication. The second tool is a classic (now web-based) CRM system in which we map all processes and projects related to our customers as well as our appointments.

We are looking for industry-specific software that replaces both systems and supports us in the following processes:

Recruiting

• Applicant data management
• Profiles, resumes, competency profiles, skill matrix
• Contact data, hourly rates
• Skill assessments, rankings
• Availability, preferences (e.g., region)
• Classification into groups, job families
• Applicant management, including communication
• Including automatic filing, i.e., synchronization/interface with Outlook

• Interface to own website and external sites (including paid portals) for project tenders

• Search in profiles via keywords, job families, preferences, etc.

• Customer data management
• Contact details, information, notes, processes (emails, phone notes, meeting minutes, file attachments, etc.)
• Differentiated recording of customers, employees, contact persons, responsibilities
• Communication - including storage in the applicant database, i.e., interface with Outlook, history
• Overview of current contracts and information about contract status

Projects

• Creation, management, history, controlling
• Integration of various stakeholders
• Progress report / responsibilities

Reporting

• Success-oriented evaluations
• Resubmission / dashboard, follow-up on open issues
• Reminder function, flexible dashboard

Technical requirements

• Windows-compatible or Microsoft unified messaging connection, with calendar synchronization with Outlook
