We are looking for new agency software for our advertising agency in northern Germany. We are changing our agency model this year and will no longer continue with the “retainer” model, but will switch to a “hybrid contract.” (Difference: Hybrid = mixed agreement with fixed monthly basic services and variable additional services // Retainer = monthly service flat rate without additional services).

Retainers were easier to bill, which is why the change increases the demands on the software. With the new hybrid model, we have to make sure that the total cost of our additional services (external costs + internal costs) is lower than what we charge our customers. The monthly basic services, on the other hand, must be billed regularly at the same rate, depending on the amount of work involved.

Our goal is to link and automate all areas. This means that our online shop (WooCommerce), where we sell our agency services, is linked to our accounting and agency software. Invoices must be sent out automatically after purchase. The agency software then records the services purchased and checks the project status on a monthly basis. It automatically sends out new invoices (the monthly flat rate and new individual invoices for one-time additional services). This must then be linked to our bank account, where incoming and outgoing payments are checked.

We therefore consider the following points to be important:

  • General good overview of project statuses
  • Estimated expenses vs. actual expenses
  • Project planning (task, subtask system)
  • Time tracking
  • CRM functions (e.g., sending quotes and newsletters)
  • Recording of external costs
  • Recording of internal costs
  • Automatic invoicing for monthly flat fees and individual additional services
  • Automatic billing of external freelancers
  • Reporting/billing for agency clients
  • Checking bank account receipts
  • Automatic dunning process, etc.
  • Interface to online shop (WooCommerce), possibly also to other shop solutions
  • A cloud solution is desired

Currently, 10-15 (in the medium term approx. 50) software workstations are required.
