We are a distribution company (distribution with sales representatives in B2B - eyewear) and are looking for software for complete order management and processing.

The solution must meet the following requirements:

  • Accounting
  • Dunning
    • Automatic reminder if invoice is paid for certain customers (reminder pops up automatically when payment deadline is exceeded, but this is not mandatory)
    • Different payment deadlines are possible when entering (mandatory) can automatically convert total customer account balance into reminder
  • Invoicing
    • Delivery notes
    • Credit notes
    • Invoices, fast invoicing
  • Automatic generation of invoices and credit note numbers (we currently have two invoice cycles, is this still possible?)
  • (possibly adopt existing number cycle?)
  • Automatic customer recognition – click on field, invoice shows customer name, customer number, tax rate, payment method
  • Linking customer data and sales
  • Lean and efficient workflow
  • Time-saving – recurring tasks do not hold up; once item data, customer data, and payment methods have been entered, they are available at any time and can be modified individually on the invoice.
  • Database
    • Enter customer master data with the option of assigning any number of contact persons.
    • Note field
    • Flexible assignment of customer numbers (use existing ones?)
  • Query/administration/ordering
    • (Call up statistics according to various options, e.g., time period, postal code, general sales volume, customer number, and top-selling customers)
    • Call up all customer data at a glance
  • Item master data
    • (Evaluation possible by bestseller, label, color?)
  • Editing screen
    • (form tailored to user needs)
    • Main screen – overview, list of all customers with sorting option
    • Click on customer, customer dialog – details appear
  • Simple and user-friendly

    • Company logo can be added to letterhead
    • Complaints/returns Multiple note fields (click on supplier to display all data, which is transferred; reason for return can be added as a pull-down menu (may be helpful for later inventory, so you know what should be in stock)
    • Login also possible “on the go” via the Internet

  • Requirements for the software provider
    • (use existing Excel form?, import option?)
    • Prompt program installation, low installation effort
    • Updates: how often, manual, automatic, costs, etc. - can individual modules be updated?

    • Maintenance costs: what additional costs will we incur?
    • Support/hotline available?
    • Training?
    • Data security
