We specialise in recruitment in the healthcare sector and are looking for software to support our processes.

The software should essentially cover the following two functional areas and support the processes.

1. Services we offer to healthcare companies:

  • Direct placement (placement of candidates)
    • Either foreign doctors are transferred to the placement agency
    • German doctors from our pool are placed with clinics that are currently actively advertising or with existing clients (clinics)
    • Success-based fee from the clinic
  • Direct approach – active sourcing (measures to identify promising employees on the external labour market), filling positions by commissioning us as headhunters
  • Support during the selection process
  • Applicant management
    • Taking over the entire applicant management process
    • If required: Separately accompanied by advertisements, press relations, image campaign/marketing measures
    • Remuneration is based on a fixed monthly project fee plus measures as required
  • Image campaign

2. Services we offer for doctors:

  • Candidate pool
  • Placement
  • Support for foreign doctors (official support and coaching)
    • Support in obtaining a licence to practise
    • Support in obtaining specialist recognition
    • Support with visas, organisation and application
    • Placement and registration at a language school to prepare for the C1 exam (Language school costs are to be paid separately)
    • Placement in an internship or work shadowing
    • Application training and coaching
    • Pre-determined fee from the doctor (advance payment for calculated services + supplement on an hourly basis paid in advance)
  • Executive coaching

 

We also have the following requirements:

  • Browser-based
  • Ideally web-based
  • Free or low-cost, friendly support
  • Simple, intuitive operation
  • Easy to add new accounts for new employees (free of charge if necessary)
  • Emails: either write directly from the system or link to Outlook
  • Upload documents (talent pool and also those received by email, etc., such as references, CVs, etc., and storage option -> ‘own candidate folder’ that can be stored in the system)
  • Integration options Talent Manager Xing
  • Test account should be provided
  • Data exports should be possible (e.g. as Excel or Word)
  • Data import

 

This should be possible for direct placement:

  • Healthcare companies (primarily hospitals) must be able to be entered in such a way that there are individual contact persons within the hospital
  • Entry of which vacancy is currently to be filled + requirements and description of the vacancy stored in the system
  • Matching between the requirements of this vacancy and the applicants/candidates already stored in the system
  • Job advertisements – uniform – easily distributable via social media
  • Entry of which candidates from your own pool applied for this vacancy and with what result (if a placement was successful, it should also be possible to see what placement fee was paid or is still to be paid on a pro rata basis)

 

This should be possible for direct contact:

  • View and sort by client, order content, deadlines (end of order or contact doctor XY again on ...)
  • Create an evaluable database assigned to the order. E.g.:
    • Which doctor was contacted in which hospital via which medium with what result?
    • Overview of doctors still to be contacted

 

This should be possible for applicant management and candidate pools:

  • Build and manage talent pools, including data protection (confirmation of our internal data guidelines as soon as an applicant registers with us/uploads their data, e.g. by ticking or clicking on the appropriate button
  • Histories for individual applicants must be displayable (emails, data changes, who posted or changed what and when, notes on the applicant, which applicant applied where, what response was received)
  • The application process must be displayable (which candidate applied to which clinic when, with what feedback and what consequence)
  • Organisation of applicants, institutions and partners, etc. by category and status, by specialisation, by level of training and by desired place(s) of work
  • It must be possible to set dates (interview on..., replies on..., etc.)
