We are looking for multi-client accounting software with year-end closing capabilities for our accounting firm (external accounting services).
The software should meet the following requirements.
- Accounting with annual financial statements
- including invoicing with automated dispatch and posting
- Fully(!) automated bank account posting
- Complies with the principles for the proper maintenance and retention of books, records, and documents in electronic form, as well as data access and the principles of proper accounting, including posting in the following month (according to the VAT return) and posting of business letters (invoices).
- Accounting is also designed for EU/non-EU services (assignment of a service date for (integrated or promptly integrated) summary reports and consideration in the VAT return
- Fully automated posting of bank transactions, i.e., automated (!) import and posting
- Fully integrated invoicing including posting and invoice dispatch: i.e., The invoice is finalized “with a click” and
- in the background, the invoice is automatically sent (in addition to transmission in accordance with the BDSG, also via email and, ideally, through a paper mailing center) and marked as “Sent” in the list view
- Automated posting to open items
- Automated collection upon due date, provided a direct debit procedure is defined in the master data
- Bank transactions (without separate import of bank data, yet in compliance with the BDSG and the banks’ terms and conditions!) Fully automated posting based on name (matching with vendors/customers), customer number, amount
- Note on bank account posting: The commercial bank can be freely selected for this purpose if the software vendor cooperates with specific banks.
- Invoicing is ideally tailored to service-based businesses (e.g., hourly rates and tax rate or tax note selectable per customer, text modules for invoice items)
- Integration into tax returns (in particular, codes for deposit accounts)
- Annual financial statements
- Elster interface at least under development (as the software overview on www.elster.de was still manageable as of 09/2017)
- Alternating export and import from or to Datev (preparation or follow-up work by a cooperating tax advisor)
- No cloud solution! Operation on a dedicated server is preferred. If operated on a server in Germany: Opt-out option (data export, particularly for invoicing)
- Remote access via VPN tunnel; could likely also be offered independently of the software.
- Optional: easy-to-use mobile posting (no app!, conceivable, for example, as with car sharing “via a ‘customer card’”); possibly as a separate product, ideally integrated into invoicing
- optional: Fixed asset posting
- optional: Personal taxes (income tax)
- optional: Calculation of trade tax/corporate tax provisions
Currently, 2–3 software workstations are planned.
