The following everyday situation in any administrative company: "Who borrowed the building services key last? We need to get into the boiler room urgently." Even in the best-structured company, this question suddenly causes panic and, unfortunately, all too often gives the impression that the company in question has no overview of the keys entrusted to it, i.e., that it works in a chaotic manner.
Unfortunately, this was all too often the reality at Cornelia Hopf Immobilienverwaltung. Employees were tired of spending hours searching for keys in manually maintained, often difficult-to-read key books when tradespeople were late. It was far too tedious to have to consult the books every now and then to find out who had not yet returned the keys they had borrowed. Or dealing with key reorders from residents – how could this information be catalogued so that it could be accessed quickly?
That is why the employees at Cornelia Hopf Immobilienverwaltung in Erfurt designed a program that not only records the daily lending of keys, but also provides an overview of all keys that are currently on loan or have been picked up for permanent storage for each property at the touch of a button.
The "KeyScan" software solution was developed and implemented by the team of employees in collaboration with Kühn Computersysteme GmbH from Erfurt. The main focus of the project was to have constant control over the keys and their whereabouts. The issuance, transfer, and return of keys is regulated by a barcode system. A wide range of evaluation options allow all kinds of overviews to be generated in no time at all.
