University is looking for software for workshop orders, warehouse management and working time recording

For our university, we are looking for software for recording, managing and invoicing workshop orders, for warehouse management and for recording employees' working hours. Nine small decentralized workshops at the university (mechanics workshop, electronics workshop and glass blowing workshop) are to be supported.

The software should support the following areas and cover the following functions:

• Stock management for the raw materials and supplies commonly used in glass blowing, mechanics and electronics workshops
• Storage of data sheets, test certificates, etc. Documents for individual stock items via upload function
• Time recording and billing for the 45 or so employees currently working in the workshops and allocation of working hours to individual orders
• Internal billing of the recorded orders with the clients
• Output of invoices and timesheets via file and paper receipt
• Automatic generation, printout and export of personalized timesheets for each calendar month
• Subsequent modification of the timesheets
• Individual layout (according to university specifications) of the employee timesheets, order forms and accounting forms.

We have the following additional requirements for the software:

• Users must be authenticated against LDAP.
• Only PCs with Windows operating systems are available, revision security is not required.
• An interface to SAP is not desired.
• Commercial processing takes place outside of this system in SAP.
• Orders are also placed outside of this system in SAP.
• There is no billing with external companies, the software is used exclusively within the university.

A total of 45 employees must be registered, of which a maximum of 20 employees will work on the system at the same time.
