Small hotel agency seeks guest management software (ERP/industry solution)

We are a hotel agency that handles large group bookings of hotel allotments for trade fair exhibitors and/or conference and event organizers, and also provides guest management services for our customers. This means that we purchase a hotel allotment and sell it to trade fair exhibitors, for example (we are a distributor). We then take care of all guest management for the customer. To do this, we use software that we developed ourselves, but which is now getting on in years. We now need a replacement for this solution. As an alternative to developing our own software, we are looking for providers who may have a basic application that we can adapt to our requirements or who offer a full version with all possible functions.

The software should meet the following requirements:

• Multi-project capability
• Management of multiple hotel quotas
• Online registration and booking function with access codes
• Booking confirmation
• Invoicing and payment
• Reporting function
• Affordable for us
• “Hotel database” with the following features
• Input – data can be entered online by the hotels – data includes facilities, distances, and photos
• Management and output of hotel master data - Output: email, homepage, offer document (PDF, MS Word, or MS PowerPoint)
• Booking tool (see above)
• The tool should not only make hotel allotments bookable, but also be usable as an online booking engine for individual customers or at least be expandable in this direction. This means that we post various hotel offers on the website, enter room numbers or quotas (we have purchased these ourselves, i.e., the quotas are not activated by the hotels on our site as is the case with booking or HRS), and then the booking process runs exactly as described above. Revenue models with, for example, €2 per guest booking or €2,000 per project do not work with our margin.
• It can also be an ERP system or an industry solutionfor small businesses in the “hotel agency, travel agency, tour operator, hotel chain” sectors. The work is carried out in an MS Windows system environment.

Approximately 10 software workstations are planned.
