We are looking for software for our real estate company to publish real estate listings (rental apartments and commercial units) on various real estate portals. Other components of common broker solutions are basically not needed, as these are covered by an in-house solution. The in-house software will definitely remain in use; only an alternative needs to be found for marketing (linking via interface possible).

We have three marketing staff who publish advertisements/exposés on online channels nationwide for our 50 in-house brokers (landlords).

The staff receive the input (property data, photos, etc.) directly from the brokers and use it to create the advertisements (currently delivered via MS Outlook).

If the input from the brokers or applicants does not meet internal quality guidelines (e.g., photos in portrait format are not permitted), it should also be possible to reject requests with justification.

The software should reflect this hierarchy (parent-subsidiary, subsidiary with limited rights, e.g., not allowed to activate or deactivate ads).

Since the three processors handle requests in parallel, it would be better for clarity if requests were assigned to one processor at a time so that they are no longer visible to the other processors afterwards.

Basically, we are looking for a content management system that is specifically tailored to the needs of a nationwide landlord or real estate company.

The software should meet the following requirements:

Must-haves:

  • We can install interfaces to various real estate portals ourselves (without IT)
  • Interface to existing in-house software
  • Exposé creation
  • Word processing
  • Filtering by landlord, address, ID
  • Authorization concept; different user rights for processors and landlords
  • Shared “mailbox”
  • Status update for “applicants”
  • Web-based, as this is better for mobile working
  • Unlimited storage space and unlimited properties
  • Create new ads based on similar ads (saves time compared to re-entering all data)
  • Reporting function or a “success cockpit” or dashboard; reporting per portfolio, owner company, etc.

Nice-to-haves:

  • Easy import of all ad data from a real estate portal instead of from the old software (easier)
  • Transparent processing status for ads (for landlords)
  • Integrated image editing
  • MS Outlook integration (requests from landlords are automatically assigned to an ad)
  • Example command: remove Christmas campaign from all ads
  • Remove or add modules
  • If too many inquiries are received for an ad (e.g., for Munich), the ad is automatically deactivated
  • Premium placements are assigned via the software; no extra login to the corresponding real estate portal is necessary
  • Text templates, e.g., titles for ad images, can be created as templates and then only need to be clicked on
  • Example: Operating costs increase by amount X for all units on Müllerstraße; this is then automatically applied to all units
  • Connection to social media + local control

Three processors and approx. 50 “applicants” (in-house brokers) are planned for software workstations.
