We are a leading financial services provider and are looking for workflow software that meets the following requirements:
- Mapping the deal flow
- to enable us to qualitatively monitor and manage our existing portfolio by mapping the workflow here as well (such as reaching milestones, like completing product development, etc.) and deriving corresponding to-do items, as well as storing relevant documents based on corresponding processes
- to map the phases of the investment process
- Phase 1 (Project Acquisition)
- Phase 2 (Project Review)
- Phase 3 (Investment Negotiation)
- Phase 4 (Portfolio Management)
- Phase 5 (Divestiture)
- Investment inquiries go through all phases according to the same guidelines
- Portfolio companies go through all phases according to the same guidelines
- The goal is to make any information or documents that can be assigned to a phase available for decision-making, so that every decision-maker/process owner has comprehensive and structured access to information
- Input screens (GUI) can be customized to internal company processes
- Process steps can be displayed individually
- Expansion of existing process steps is possible at any time
- Time monitoring through the entry of target and actual times (e.g., for actions, milestones)
- Notifications for time overruns (time deviation analysis)
- It is possible to store documents in the individual process phases
- Stored documents: Search function and customizable structuring options for document storage
- Creation of reports from defined data/data fields is possible
- App access / browser access (further information requested)
- Printing of reports (PDF, Excel, Word, hard copy?)
- Statistical functions (e.g., number of applications received by industry, month, etc.)
- Role-based system with read/write permissions, administrator access
- Confirmation of whether a process step is completed (checkbox)
- CRM module or the ability to create and maintain databases (at least 10 categories, e.g., attorneys, tax advisors)
- Filter function (filter the entire database, e.g., to-dos, by various criteria such as open, completed, processes, etc.)
- Process steps can be subdivided into further steps (drop-down style, e.g., financing round -> loan, equity, etc.)
- Activity planning and tracking (actions/to-dos, 3Ws)
- Integrate to-dos from management meetings into the software (directly in the company’s to-do list)
- Standard report formats can be integrated (e.g., as a GUI)
- Generate emails, e.g., from to-dos, rejections, etc.
- Approval procedure (signature hierarchy/signature process)
- Absence substitution
- Open interface (inbound and outbound)
Software provider:
- Maintenance via service contract
- Regular updates
- Data migration via interface integration
Optional:
- Access to archiving system via defined interface
- Multi-client concept
- Interface to Delta Master
Nine software workstations are planned (1x administrator, 6x write, and 2x read access).
