We are an IT company (trade and services) and are looking for a CRM solution for ourselves for customer acquisition and support, including quotation and invoice creation.
The following requirements should be taken into account:
a) Mandatory requirements
The solution must have the following functionalities:
- Modern, clear user interface
- Address management for acquisition and customer service with comprehensive full-text search (global search across all data record types and entries – e.g., keyword search that includes both emails and recorded phone calls, among other things)
- Store multiple addresses per customer
- Option to define custom fields for additional data
- Multiple contacts per lead/prospect/customer, which can also be viewed in an overview (at a glance)
- Subdivision of addresses into groups (e.g., leads, prospects, customers, partners, etc.) and option to convert, e.g., prospects into customers
- Follow-ups with reminder function
- Contact history, which is divided according to activities (e.g., phone call, appointment, letter, emails, form letters, offer, order, invoice, etc.) and displays the most important information or content at a glance (or via document preview)
- Document management by archiving customer-related documents
- Archiving of documents - e.g., emails - using drag & drop or via interface to Outlook (or other integration of Microsoft Office products)
- Creation and sending of form letters or form emails (with personal salutation)
- Quotation, order, and invoice creation
- Quotation creation via product catalog/product selection
- Converting quotations into invoices and recurring invoices
- Access by the same user should also be possible via two media or locations (e.g., via laptop and desktop computer)
- (at the beginning) Options for importing data from previous systems

If the solution has the following functionalities, this is advantageous but not essential:
- Change history
- PC telephony with caller ID and logging in the contact history
- Statistics/reporting functions
- Communication or chat tool
- Customizable views (e.g., fields, masks, lists)
- Store logo or image for the customer
- Duplicate check
