We are an institution of the state of Lower Saxony and are looking for a seminar management system including a learning management system (LMS) for continuing education.

We have the following requirements for the software:

Seminar management, including

  • Management of participants, seminar leaders, lecturers, as well as details on times and other special conditions
  • Event calculation
  • Recording of fees and participant contributions, as well as automatic invoicing and billing of lecturers and creation of lecturer contracts
  • Creation of participant lists and similar documents using defined templates in MS Word and MS Excel
  • Direct correspondence with participants via automatically generated forms with the option of customizing the template
  • Barrier-free display of the seminar catalog on the web via an iFrame or similar
  • Option of barrier-free participant registration on the web with automatic transfer to the database; optional setup of online access for participants to independently manage their personal data
  • Direct linking and assignment of files (PDF/jpg/MS Office) to seminars and participants (e.g., proof of discount or external invoices)

Address database with data storage on an MS-SQL server, among other things

  • Backup of all participant data for future events
  • Assignment of categories for creating distribution lists and address filters to narrow down data records
  • Backup and deletion of personal data in accordance with the European General Data Protection Regulation
  • Option to create distribution lists based on regional or thematic references, for example
  • Backup of lecturer data and storage of subject categories for lecturers for the purpose of categorical searches
  • Option to import and export data in common database formats

Creation of participant statistics for individual events and annual statistics

  • Provision of quantitative data in formats for processing in statistical programs such as SPSS, R, or similar, and/or evaluation in the program
  • Creation and storage of seminar evaluations

Interfaces to MS Office (MS Excel, MS Word, and MS Outlook)

  • Requirements are listed in point 1: Creation of format templates for different purposes, e.g., speaker letters and invoices

Support for specific issues, e.g., programming for new requirements regarding seminar quality or data protection, or help with individual problems

  • Interfaces to social media
  • Automatic reminders for process steps
  • Assignment of tasks
  • Checklists

Interfaces to other software solutions for teaching and learning

  • Option to transfer and exchange participant data in learning platforms such as Moodle, My Study, Stud.IP, or similar applications
