On behalf of the Federal Employment Agency, we advise applicants and are looking for a web- and database-based software solution for customer management, billing, and possibly document management.
The software should meet the following requirements:
- Invoicing - partial, final, and total invoices, goodwill arrangements, cancellations
- Invoice printing
- Extensive query function; almost all information in this database must be set up so that it can be used for queries
- Extensive statistical queries and evaluations
- The database must have separate levels or areas for each location, which are only valid/accessible there
- Customer/contact management - Personal data (applicant profile)
- Appointment scheduling and lists, calendar function
- Participation function for coaching and seminars – measures, each with specific measure numbers
- Service management (i.e., invoice items such as booked modules, personnel, postage/application costs, travel expenses)
- A measure/coaching hour is defined as a 45-minute unit; in practice, we regularly work with 60-minute consultations, which means that each consultation hour (= 60 minutes) results in a coaching factor of 1.33333.
- Access control - rights management, user group control (e.g., the database must have separate levels or areas for each location that are only valid/accessible there)

- Software provider services – customization must be possible (e.g., it should be possible to add INFO fields with a small i button at a later date). When the user clicks on “i,” information (operating instructions/work instructions) should be displayed. These instructions should only be able to be entered by a higher-level user (from our team of employees) with special access rights.
Initially, approximately 10 software workstations are planned, with up to 50 later.
