We are a family-run carpentry business that has been operating for over 50 years. Our passionate and motivated team handles all customer requests, including furniture construction, the delivery and installation of windows, doors, and burglary protection, as well as the professional execution of all repair orders. We currently use an industry solution installed on an Apache web server set up on our Windows 10 PC, which means we are bogged down in paperwork and information management. For example, all orders and processes are currently printed out, filled out during order processing, and then scanned back in.

We would like clear, intuitive software that supports us above all in the organization, communication, and structured management of various data. In addition to the “standard services” such as

  • Creating and managing customer and supplier data, including tenant, employee, contact person, billing, and delivery addresses, agreements, notes, etc.
  • Creating and managing projects and their structure
  • Creating and managing items such as services, materials, set items, external services, etc., either freely or from catalogs (master data)
  • Calculation (project calculation, material calculation including parts lists, working time calculation with catalog functions)
  • Creation and management of data such as quotation data, measurements, images, PDF forms, etc. for customers, projects, tasks, etc.
  • Creation, viewing, and editing of documents such as quotations, order confirmations, orders, partial and final invoices, etc.
  • Sending created documents and product information as PDF files from the software, including selecting email addresses and inserting pre-written email texts for quotations, etc.
  • Material logistics: Display of project materials including purchasing suggestions or order lists for suppliers, which can be sent by email
  • Warehouse logistics: Management of multiple warehouses such as main warehouse, workshop, vehicle 1, vehicle 2 with stock levels, order suggestions, goods receipt, and removal, including by employees
  • Invoicing and partial invoicing (import and processing of incoming invoices (assignment or linking to projects for billing purposes)
  • Open item management
  • Dunning
  • Extensive sorting functions, e.g., by status: inquiry, inquiry scheduled, offered, granted, order material, material ordered, production, schedule, scheduled, finished...

Above all, we want:

  • Appointment calendar (detailed and clear employee, order, and resource planning)
  • Structured material and service catalogs with “set items” and intelligent full-text search, from which even inexperienced users can make a suitable selection
  • Data management of scanned or emailed documents (recognition and filing of emails from customers, suppliers, projects, etc., as automatically as possible, otherwise simply manually)
  • Company database for providing PDF files such as checklists and measurement sheets
  • Mobile order processing with material and time recording as well as activity descriptions and customer signature
  • Communication options for e.g. order-related queries, material orders to purchasing
  • Time recording (start/stop and manual selection) as well as overview and evaluation of all working hours
  • Order status management to identify the need for action and order progress
  • Accounting and payroll accounting
  • Accurate post-calculation
  • Comprehensive rights management to restrict employee access
  • Functions to facilitate everyday work, such as supported storage of scanned or emailed documents such as incoming invoices, order confirmations, etc.
  • Various interfaces
  • Windows compatible
  • Monthly rental is preferred

A software workstation for the administrator, a mobile workstation for management, and four predominantly mobile tablet or smartphone workstations for employees are planned.
