We are an event marketing agency and are looking for an inventory management system for a roadshow on behalf of a client.
Here are the key details:
- The client is providing us with approximately 650 exhibits. These will be set up and displayed in City 1.
- Afterward, they will be taken down, loaded, and transported to the next city.
- This involves 5 cities over a period of approximately one month.
The system must be capable of the following:
- All exhibits are equipped with a unique QR code or barcode.
- All exhibits are stored in a database with their names and specifications.
- During setup, the exhibits are unloaded from the truck, scanned, and set up.
- During takedown, the exhibits are dismantled, scanned, and loaded onto the truck.
- The system should immediately display in detail whether anything is missing and, if so, what.
- Tracking of individual items throughout the entire period is absolutely necessary so that it can be determined where the missing material was last used.
- The list of loaded/unloaded items should be printed on-site so that the carrier or the person in charge on-site can acknowledge receipt.
- The system should function both online and offline.
We require a complete package including:
- Customization or development of the software according to the specifications above. These may still change slightly.
- Creation of the database of exhibits (we will provide a complete list).
- Provision of the software
- Provision of the necessary computers
- Provision of hardware (3–4 scanners should be available)
- On-site support staff (the scanning process itself will be carried out by our staff)
The timeframe and dates for setup and dismantling in 5 cities are between mid-February 2016 and the end of March 2016. Two cities overlap in terms of dates, which may require a second system.
