We are a service provider (consultants and event organizers) and are looking for seminar management software (including statistical analysis).

The solution should meet the following requirements:

1. Data Management

  • Statistical system for querying and managing various data
  • Permanent ID number
  • Title, Last Name, First Name, Date of Birth
  • Email, Phone, Address
  • Indication of full-time or part-time status
  • Division of seminars into teaching units (TU)
  • Statistics on all offered, registered, and attended seminars
  • Total number of teaching units (TU) for attended seminars and the location where they were held (per individual participant)
  • Data queries that can be selected via an automatic suggestion process
  • Registration date (must be filled in by us)

2. Registration System

2.1 Online Registrations

  • Overbooking prevention
  • Management of a waiting list
  • Confirmation of participation to participants
  • Verification of contact information with mandatory confirmation by the registrant
  • Manual cancellation by us must also be possible

2.2 Management of cancellations/online deregistration

  • including notification to us if deregistration is done by the participant themselves
  • Manual deregistration by us must also be possible

2.3 Organizational tasks, creation of

  • participant lists
  • certificates of attendance
  • name tags

3. Email management

  • automated or manual handling
  • Emails to participants (final information, reminders, password download, etc.); file attachments must be possible
  • Emails to speakers (final information, reminders, password download, etc.); file attachments must be possible

4. Booking system/cash book, if applicable

  • Management of participation fee revenue
  • Incoming payments, outgoing payments, invoices/receipts

5. Speaker management

  • Database of actual and potential speakers

  • Contact information

The software should be Windows-compatible.
