We manufacture natural cosmetic products and sell them via two online shops, in our retail store, and at markets. To support our work, we are planning to introduce an ERP system. Depending on the supply situation, we are considering introducing POS software and hardware at the same time or later.

We have the following requirements for the software:

Manufacturing:

  • Raw material planning possible with reminders for any orders of raw materials that are running low (traffic light function)
  • Calendar function with settings for products that have reached the end of their “maturation period”
  • When manufacturing a product, change the raw material stock in the warehouse based on the recipe
  • Batch and best-before date management
  • Automatic generation of documentation lists
  • Production suggestions and/or depending on an order or history-related data, such as the quantity sold in the previous year

Warehouse management:

  • Warehouse movements, entries and exits on all sales channels
  • Various storage locations
  • Inventory possible at any time
  • Warning when a certain minimum quantity of finished products is in stock (traffic light function)
  • Option of a scan function via barcode or QR code, etc.
  • Combination items: Sales product consists of several individual products that could also be purchased separately
  • Record shipping materials, boxes, etc. and statistical reports (packaging register)

Online shops:

  • Automated order management, including emails, payment instructions, taking into account stock availability; there are already shops that run independently; the connection and link should be central
  • Generation of invoices, delivery notes, shipping labels (DHL), etc. according to your own uniform CI

Markets:

  • Mobile use of cash registers possible
  • Division, e.g., of several markets in different locations on one date possible (taking stock levels into account and calculating “live”)
  • Mobile card readers for cashless payment are available

Store:

  • Normal cash register functions with inventory management and scanner, printer

Administration, analyses, DMS:

  • Uniform invoicing, delivery note and order creation possible with your own CI
  • Access to all relevant data from inventory, raw material stock, etc. Online shops, accounting (DATEV), etc. for creating meaningful analyses and commercial decisions
  • A DMS interface that can work with all necessary interfaces and files

General:

  • The POS system should, of course, be GoBD-approved
  • Adaptation to any future legal requirements
  • Competent support for questions, easily accessible
  • Required hardware such as cash register, scanner, printer, etc.

One to two software workstations are required for the ERP.
