We are a trade association (leisure industry) and organize a wide variety of events for our members, interested parties, and business partners.

In addition to specialist retailers, our customer groups include other associations, guests, industry, and exhibitors. Our events include:

  • Trade fairs
  • Member meetings
  • Seminars
  • Retailer get-togethers
  • Celebrations

Most events are free of charge for all participants.

The few events that are subject to a fee are not billed via the event software. As coordination is becoming increasingly complex and the demands on access and reporting continue to grow, we have the following requirements for event management software:

  • Ideally, connection to Microsoft Dynamics NAV 2015
  • Simultaneous access and editing by multiple employees
    • Ideally with different permissions
    • Ideally (partial) access via browser
  • Editable address groups with contacts
    • Ideally, option to manage branches
    • Re-registration of specialist retailers; all new members of the address group are manually activated by us (trade visitor accreditation)
    • Ideally, communication with the contact is adapted to the respective language (e.g., Danish)
  • Events with unlimited and limited numbers of tickets
    • For certain events, one ticket group per address group (exhibitor & visitor tickets)
    • Ideally, waiting lists for sold-out events
    • Ideally with hotel quota management (events)
  • Simple registration process for participants (!)
    • Invitation mailing
    • Password-protected registration
    • Multiple participants per address
    • Ideally with hotel request/booking
    • Only for events: Push-triggered confirmation of receipt and push-triggered event confirmation with ticket (text must be manually editable)
    • For some events: Pre-formulated, automatically generated event confirmation with ticket
    • Ideally, participants should be able to cancel
    • Compliance with the Federal Data Protection Act (BDSG)
  • On site
    • Access registration via scanner
      • Registration & creation of new addresses and tickets on laptop
    • Ideally offline, sync after the event
      • Ideally “blacklist” with unwanted persons
    • Simple reporting on site (Excel list or similar)
  • Reporting:
    • Simple (!) evaluation in Excel or similar
    • Access with how many people
    • Registered but did not attend
    • Ideally, history of addresses & contacts

Ideally with ticket verification
