IT company seeks ERP system

We are a medium-sized IT company. Our product and service portfolio includes software products, custom software development, consulting, and corporate/factory planning. Our national and international customers come from all industries and range from large corporations to SMEs. Due to continuous growth in recent years, the requirements and costs for administrative and accounting processes have steadily increased, meaning that the current combination of manual processes and a customized software solution for resource planning and time recording is increasingly reaching its limits. In order to meet the increased requirements in the area of project management and controlling, we are planning to introduce an ERP system. This means that our in-house legacy system is to be replaced by a new integrated system solution.

The following requirements must be met as a minimum:

• General:
• Dashboard for key performance indicators / graphical reports
• Mobile application (especially for time recording)
• Customizable search and filter options
• Individually adjustable access rights management
• Scalability of the software (in terms of company growth)
• Form editor
• Switch between clients
• DATEV interface
• It should be possible to transfer “current projects and offers/orders,” “employee data,” and optionally “customer data” from the legacy system, e.g., through import options
• Local installation or web-based

• Human resources management:
• Management of employee master data and employee documents (digital personnel file)
• Time recording
• Travel expense accounting
• Management of absences (e.g., vacation, parental leave, overtime compensation, (child) illness, special leave, unpaid leave)
• Resource planning

• Project management:
• Creation and management of projects (including resource planning)
• Creation and management of quotations (per project), including conversion of quotations to orders and invoicing
• Evaluation of time recording
• Project controlling

• Optional requirements:
• Electronic signature
• Connection/API to BI tools
• Mapping of incoming invoices
• Logbook
• Vehicle fleet
• Inventory list
• Contract storage

• CRM (optional):
• Customer address database
• Customer communication/sales

There are 80 to 100 software workstations planned. Work is carried out in an MS Windows system landscape.
