We are a cultural center that organizes and hosts a variety of events and exhibitions throughout the year. We also rent out our premises. We are looking for planning software for event management and rentals.

The software must meet the following requirements:

  • Calendar function or overview
    • for internal and external planning of events and bookings
    • possibly also for personnel and task planning
    • Task planner
  • Management of bookings and reservations with quote creation, optimization, or cancellation
  • Management and occupancy planning for individual rooms, with the option to store requirements and details, including automatic seating planning if necessary
  • Option to store items and resources, such as services, technology, and personnel
  • Rental must be able to be stored as an option, with automatic expiration of a deadline, so that the offer is marked as expired and can be followed up on in a targeted manner
  • Invoice creation from the system
  • Customer management system in the background; e.g., automated e-mail dispatch to the customer with offer & contract; option to contact customers in a more targeted manner
  • Option for customers to register directly via our website for courses or events, or to purchase tickets
  • Evaluation of sales channels
  • Optional
    • Option to connect the system to the website so that room occupancy can be viewed directly
    • Option to contact customers afterwards and request feedback
    • Project management, e.g. for planning marketing and public relations
  • User-friendliness: the system must be easy for everyone to understand; intuitive operation
  • Windows-compatible
  • Costs preferably as a one-time investment and with the lowest possible running costs

Six to seven software workstations are required.
