The simple filing principle with archive, filing cabinet, folders and files has been applied in ELOoffice and underpinned with forward-looking technology. So the flood of documents can be moved from the desk to the PC and managing it becomes child's play. The time to access documents is considerably reduced, saving office space and reducing costs.

Everybody knows how an archive with filing cabinets, folders and index card works. This tried and trusted method of ordering documents has been taken by ELO and turned into a modern electronic archiving system. The advantages are clear in that the entire flood of paper is moved from the desk into the PC.
- Simple to use
ELOoffice is simple to install and can be used almost immediately, without the need for time and cost intensive training. Navigating through the file structure, opening folders and paging through documents is all carried out with the click of a mouse button. The choice between an expanded tree view and the original folder view is now available. The search function provides the rapid retrieval of the desired information, even when searching through large volumes of documents. The inbuilt intelligent 'sounds like' search ensures that the desired matches are returned even when the required text differs slightly from the search text, for example the search text night could return the results night, knight and nite. Whether the documents are in paper form, scanned, faxes or Microsoft Office or Outlook files document administration is quick and easy. ELO ensures that the complete overview is never lost, whilst also providing a high level of transparency and faster access to documents during day-to-day use. The search for documents and the copying and forwarding is taken over by ELO, resulting in savings in time and money.

ELOoffice is network capable and allows simultaneous archive access for multiple users. Password protection, assignable access rights, Reminder Items and a direct email connection ensure that efficient work processes, in and between user groups, are guaranteed. The Import/Export function allows the transfer of documents, folders and entire filing cabinets between laptops or even the larger ELOprofessional version. The compatibility of the entire ELO family of products provides a high degree of investment protection, even during rapid growth and expansion.

Highly capable scanning functions allow burdensome mountains of paper to be transferred from the desk to the ELO archive on the PC with a minimum of effort. These documents are then protected by passwords and security measures so that only authorised users can view or edit the archived documents. ELO also offers the option of creating a portable DVD archive, which makes documents even more secure. As a modern DMS solution ELO is naturally fully integrated into the electronic office environment, providing a complete overview of the documents within a central document archive and eliminating the need to store documents in differing locations or formats.

- Future-safe storage
In order that documents can still be displayed, even after the original software is no longer installed, ELOoffice offers a built-in TIFF Printer. The TIFF Printer allows the option of printing documents from differing applications directly into ELO, saved in TIF file format. This ensures that the documents can be retrieved and viewed in the future, regardless of whether the original software is available or not.
- One system - Multiple archives
Often documents need to be saved in a separate archive to other documents. For example business papers in the network archive and personal documents in a local archive on the desktop PC. ELOoffice 7.0 introduces profiles, which allow users to select the required archive path at the click of a mouse button. This functionality is particularly useful for mobile users, who can then easily access a company network archive as well as a local archive on the laptop.

In addition to ELOoffice, ELO Digital Office offers a whole range of compatible products that allow for increasing business requirements. The user and key administration allows group and individual access rights for documents to be set and particularly sensitive documents can be protected with the integrated 128-bit encryption algorithm. Encryption ensures that documents remain secure, should the PC or laptop fall into false hands, while retaining the simple and comfortable to use interface.

The completion of a process or workflow often results in the transfer of varying amounts of documents. The creation and compiling of these documents involves often-considerable time and effort. The export mechanism is a simple way of copying archives or components from archives onto a CD or DVD disk. In order that the recipient from the CD or DVD can view the documents the ELO Viewer is supplied free of charge. This allows the documents to be viewed from any PC, even when ELO is not installed. This is also an effective method of creating backup material for an archive.

ELOoffice is ideal for teamwork - multiple users can work simultaneously with the same documents. The task dependant structuring of the information is supported via the freely defined views and the creation of logical copies of the documents. The Check-In and Check-Out functions ensure that simultaneous editing of the same document does not cause conflicts. The central ELO database allows the forwarding of documents to team members during the processing. The Reminder Items function ensures that important documents and processes are not forgotten. Tasks can be assigned to oneself as well as to colleagues and, when desired, ELOoffice can enter the events in an Outlook calendar. The entire list of tasks can be viewed from one location providing a complete overview.

Paper documents still make up the majority of information in the office. In order that all documentation can be stored in one medium, ELOoffice integrates powerful scanning functions. The standardised TWAIN interface allows scanners or varying cost and performance to be utilised. Some of the larger hardware suppliers (Hewlett Packard or Kyocera, for example) deliver special solutions with software bundles, which offer further advantages during the scanning process. Differing scan profiles, picture processing or improvement and automatic filing are some of the additional benefits ELOoffice offers when scanning documents.

The searching for and retrieval of documents often requires considerable time and effort. ELOoffice provides powerful search functions, which save valuable working time. The central component of the search function is a powerful database, which provides rapid retrieval of the desired documents, even with large volumes of data. ELOoffice allows individual index and search forms to be created which allow documents to be saved and retrieved in a structured manner. With the full text search it is possible to search for terms not only in text documents (DOC, PDF, etc) but also in graphical or scanned documents (TIF). Searching for terms where an exact grammatical match ist not known is possible (Sounds like search), whilst search terms can be saved and repeatedly utilised.

The Export/Import function is an important component of ELOoffice as it allows the transfer of documents between different systems, for example other members of the ELO product range. This provides a high level of flexibility and also allows documents to be stored in external locations instead of in the ELO archive. With the input of an optional lifespan date, or time, it is also possible to control when documents are removed from the archive.

Relaying information by the attaching sticky-notes to documents, or even attaching multimedia notes, audio and video, is easy with ELOoffice. Index and keyword lists are easily created by the user and lead to a reduction in time and effort and an improvement in the structured archiving of documents. The optical character recognition (OCR) clipboard can be used to reduce the time and effort required for entering index information. Existing text from documents can be copied and entered directly into the index fields. The linking of documents, even when in completely different locations in the archive, saves even more time and effort when searching for existing documents.
Flexibility
- Flexible e-mail management
ELOoffice includes an integration component for MS Outlook that allows e-mails and other Outlook objects to be archived in ELO with minimum effort. The system supports automatic as well as manual archiving to a target register. The user can decide whether attachments are to be archived as links or as separate documents. Existing values such as sender and recipient are automatically entered in the keywording text that is used later during searching. The option of saving the e-mails and any attachments as text, TIF or the proprietary MSG format files is also available. ELOoffice offers the flexibility that the modern office demands.
- Archiving - No problem
ELOoffice supports the standard software packets Microsoft Office, Star Office and OpenOffice. Through these products ELOoffice provides access to seamless archiving and administration of documents. The documents can be archived, searched for and opened for processing all from within the original program. The version control guarantees, even when documents are often edited, that the latest version can always be identified. A versioncontrolled document can therefore also exist in various formats. For long-term archiving the documents can be archived as TIF files via the ELO TIFF Printer. The worldwide standard TIF format offers two distinct advantages. Firstly the documents can no longer be edited directly and secondly, the documents are future safe as they can always be displayed without the need for special software.
- Individual adjustments
For users who require more than the standard functions ELOoffice offers the ELOscript interface, a highly capable scripting tool. The creation of scripts allows special, individual functionality to be introduced as well as the automation of work processes. This makes it possible to alter or expand various functions, which allows ELOoffice to be tailored to the individual business needs of the user. Menu entries and toolbars can be swiftly altered to take account of the new functionality and an environment to test selfcreated programs is supplied as standard.
- Bridge to the Internet
Large volumes of information can be found in the Internet and naturally ELOoffice can be used to archive web pages. It is often sufficient to know where information can be found as opposed to storing the complete information source on the PC. ELOoffice makes it possible to store researched Internet pages in the ELO archive. This offers the advantage that the pages can be found more quickly in ELOoffice through the search function. It is also possible to link to the remaining information in the Internet. ELOoffice discriminates between direct and indirect links to information. Web pages can also be archived offline in ELOoffice, offering the advantage that the pages can be accessed even when away from the office or without an Internet connection.
